Administrative/Office Assistant
Proteus Biomedical based in Redwood City, CA is seeking a dynamic, energetic, outgoing, ambitious multi-tasker to assist the Administration Manager in running the office.

The right candidate is a self-starter who thrives in challenging environments and is able to hit the ground running and work independently and efficiently with or without supervision. Training will be on the job and expectations are high. You must be a hands on, technology savvy, roll up your sleeves, willing to assemble office furniture or touch up paint type of person with a sense of humor who takes pride in their work and has a strong work ethic.

Primary Responsibilities:
  • Maintain attractive environment in the office
  • Greet all visitors, offer refreshments and inform people of arrivals
  • Maintain conference room calendars and clean up after meetings
  • Prepare orders for routine office supplies
  • Maintain the photocopiers, printers, faxes and order supplies as needed
  • Organize, clean, stock kitchen and order lunch for meetings
  • Producing/editing documents including but not limited to: letters, memos, reports, graphs, spreadsheets, event flyers
  • Making appointments and managing the organizational calendar
  • Receiving and screening visitors, telephone calls and e-mails
  • Sort, open (except confidential), prioritize, deliver and alert
  • Ensure outgoing mail and packages are processed quickly
  • Manage alarm vendor
  • Handling special projects
  • General errands


  • Education and Experience:
  • Bachelor’s Degree (preferred) and One (1+) years of experience providing office and administrative support or AA Degree with appropriate experience and/or additional training
  • Proficiency in PC/Mac computers, all Microsoft Office applications, type minimum 50 WPM
  • Office administrative and secretarial practices and procedures, such as business letter writing and the operation of common office equipment, including personal computers, copiers and printers
  • Record keeping, report preparation, filing methods and records management techniques

  • Strong research, writing and editing
  • Strong attention to detail
  • Analyze and resolve office administrative situations and problems
  • Excellent organization and time management skills
  • Professional and mature personal style, with an understanding of proper presentation
  • Develop, evaluate and maintain accurate record keeping systems
  • Communicate effectively on the telephone and in-person with executives professional, administrative, interns, and consultants
  • Ability to quickly learn and communicate relevant information regarding the company’s operations, policies, procedures and Mission
  • Organize work, set priorities, meet critical deadlines, and follow up on assignments with a minimum of direction
  • Ability and willingness to function as part of a team
  • Possess a high-energy, positive and enthusiastic outlook
  • Ability to work some overtime hours when needed


  • Other Requirements:
  • Valid California Driver's License
  • Ability to sit/stand for several hours at a time, to lift up to 30 lbs
